Reducing PDF size for email and document submission portals

A vague “file too large” message often leads people to over-compress. A better workflow starts by confirming the exact size limit and which documents count toward it.

Confirm the real requirement

Check whether the limit applies per file, per attachment, or to the entire submission. Email systems may add encoding overhead, while portals may count every document in one application.

Record the accepted format and whether a digitally signed or archival PDF is required. Compression may be inappropriate when those properties must remain intact.

Reduce only as much as necessary

If the file is slightly above the limit, try Lossless first. For image-heavy scans, Balanced may provide a larger reduction. Maximum should be reserved for a strict limit that cannot be met safely another way.

Removing unnecessary pages or exporting again from the source application may preserve more quality than aggressive page rendering.

Validate the submission copy

  • Give the file a clear name without sensitive information that does not belong in the filename.
  • Open it in a second PDF viewer.
  • Confirm page count and orientation.
  • Check that the final size is below the stated limit with reasonable margin.
  • Keep the original until the portal or recipient confirms acceptance.
