How to reduce PDF size without losing important readability

A PDF is useful only if its essential information remains readable by people and receiving systems. File size should never be the only success measure.

Identify critical details first

Before compression, list the elements that must survive: identification numbers, fine print, signatures, stamps, diagrams, photographs, barcodes, and QR codes. Different pages may require different attention.

Keep a copy of the original open so that the output can be compared at the same zoom level.

Start one level below the aggressive option

Balanced is a sensible first attempt for most scans. Move to Maximum only after the Balanced output is readable but still exceeds a required limit.

Repeated compression compounds damage. Always return to the original before trying a different mode instead of compressing the previous output again.

Verification checklist

If one essential element fails, the output is not acceptable even when the file meets the target size.

  • Inspect at 100 percent zoom and at the size normally used by the recipient.
  • Scan every barcode and QR code with a real device.
  • Compare signatures and official stamps with the original.
  • Check thin chart lines, decimal points, and characters such as 0/O and 1/I.
  • Print one representative page when print use matters.
